Work on feedback: the Feedback Board
Read, assign, reply, change status and export.
The Feedback Board holds everything sent to your company, grouped into Internal Users, External users, Anonymous and Team members. Select a group or a message to open the inbox view. Anonymous feedback has its own group because its sender is hidden.
Who sees which feedback
- Company Admins and Managers see all of the feedback sent to the company.
- Other members of the company see the feedback assigned to them, feedback a colleague has mentioned them on, feedback on a topic they are a recipient of, and feedback they sent themselves.
- Anonymous feedback reaches the same people as any other feedback, without the name or address of whoever sent it. Nobody is shown it because of who sent it.
- Someone who supervises a team also sees the feedback attached to that team: see Users & Teams below.
- To bring a colleague in on an item, assign it to them or mention them in a comment.
Users & Teams
Users & Teams, in the menu, shows your team, the people who report to you and the teams you supervise. Choose a team to see who is in it and the feedback it is working on.
- A team is everyone in your company with the same department. Nobody has to set teams up: two people whose department is Recruiting are in the same team.
- You supervise a team when at least half of its other members report to you, directly or through others. A director above several team leads sees each of their teams.
- If only one or two people in a large team report to you, you do not supervise that team, but you still see the feedback assigned to the people who report to you.
- Feedback is attached to a team when it is assigned to someone in the team or was filed under its department.
- A supervisor can open and work on all the feedback attached to their teams. Other members of a team see only the items they are involved in themselves.
- Company Admins and Managers see every team in the company.
- Departments are set on each person, and reporting lines under Topics & Routing Rules. Changing either changes the teams straight away.
On a feedback item you can
- Read the full description and download attachments.
- Change the status: New, In Progress, On Hold or Completed.
- Assign it to anyone in your company using the Assignee list. They are notified.
- Reply in the Comments section. The submitter is notified if they have an account.
- Mention a colleague in a comment with @ to bring them in.
- See the Activity history of everything done so far, including who did it.
- Mute notifications for that thread with the bell button.
- Flag content that breaks the rules.
Mention a colleague
To bring someone in, mention them in a comment. Type @ and start their name, then choose them from the list. When you post the comment they are notified, with a link straight to the item.
- You can mention anyone in your company, and only people in your company.
- You can also mention a whole team (for example @Recruiting team), your @Managers or your @Company Admins. Everyone in the group is notified and brought in on the item. Before you post, the comment box tells you how many people that is.
- The Activity of the item records who was mentioned. Only your team sees that entry.
- A colleague you mention can then open that item and work on it, even if they could not see it before.
- If you delete the name before posting, nobody is notified.
- Each person chooses how they hear about mentions under "You are mentioned" in their notification settings.
- The person who sent the feedback cannot mention anyone, and someone using a reference code is never shown your colleagues' names.
Export
Company Admins can choose Export CSV on the Feedback Board to download all of the company's feedback as a spreadsheet. The submitter's email is left blank for anonymous items.
You will never see who sent anonymous feedback, in the board, the export or the activity history.
